How to Build a Brand Voice That Sounds Like You
A brand voice that sounds like you comes from three things: three adjectives you commit to, a "we say / we don't say" list, and practice. You don't find your voice โ you choose it, write it down, and use it until it's natural. Here's the practical process.
Step 1: Choose three adjectives
Gather your best writing โ the emails, posts, and pages that felt most right. Ask: what do these have in common? Warm? Direct? Playful? Choose three adjectives that describe how you want to sound, and no more.
Three adjectives make voice portable: anyone who writes for you can check their draft against three words.
Step 2: Write the "we say / we don't say" list
Voice becomes concrete in specific choices:
- We say "let's figure this out" โ we don't say "per our discussion."
- We say "you" more than "we."
- We say plain words โ we don't say "synergy," "solutions," or "leverage" as verbs.
Ten lines of this list will improve every sentence your business writes.
Step 3: Apply it everywhere or it isn't real
A voice only exists if it shows up in the boring places: the appointment reminder, the invoice footer, the error message. Customers don't judge your brand by the homepage hero โ they judge it by the average sentence.
Step 4: Practice until it's muscle memory
Voice slips when you're in a hurry. Write a few example sentences for common situations โ a welcome email, a price objection, a thank-you โ and keep them as reference. Over time, the voice stops being a document and starts being how you talk.
The bottom line
Your brand voice is the difference between being recognized and being tolerated. Choose it deliberately, write it down, and let it show up in every sentence.
